What are cloud services?

Cloud services mean that company data, email and applications do not run on a computer in your office but in a professional data centre. You reach them over the internet, from the office, from home or from the field. Instead of a one-off investment in hardware you pay for what you actually use.

Cloud on its own solves nothing, though. What matters is what you move into it, how it is configured and who looks after it.

Where cloud actually helps

Cloud backup and disaster recovery

A backup sitting in the same building as the server protects you from neither fire, theft nor ransomware. In those situations an off-site data backup is the difference between a delay and the end.

Cloud is not automatically better, it is simply set up differently. This is the difference you actually feel day to day.

The comparison is indicative and applies to a typical small or medium company. At the consultation we go through it against your actual environment.

Does your company belong in the cloud?

Not every company does. We would rather tell you straight that it does not pay off than have you asking six months later why it costs more and runs slower than before.

Cloud makes sense when

  • the server on site is ageing and a new one is due,
  • people work from home, from the field or from several sites,
  • headcount moves up and down,
  • documents live on laptops, in email and on USB sticks,
  • you need an off-site backup and do not have one.

Better to wait when

  • a key application runs only locally and the vendor does not support cloud,
  • you bought the server recently and it has years of life left,
  • the internet connection at the site is unstable or slow,
  • a customer contract or internal policy requires data to stay on site.

In most companies the answer is somewhere in between, which is why we so often propose a hybrid solution. Some systems go to the cloud, some stay with you, and we manage both sides together.

Cloud can be ordered in a few minutes. Responsibility for what you put into it does not transfer with it.

The first two steps carry no commitment, so you decide once you know what you are getting.

2 Proposal and quote We write up what we recommend moving, what to keep on site and why, with a tailored quote and no obligation.
3 Deployment and data migration We prepare the environment, move the data and set up access. The work is planned to disturb your operation as little as possible.

Frequently asked questions

What are cloud services?

Cloud services mean that company servers, data and applications do not run in your office but in a professional data centre you can reach over the internet from anywhere. Instead of a one-off investment in hardware you pay for what you use, and capacity can be added or reduced as the company grows.

Is cloud safer than our own server on site?

A data centre has better physical protection, backed-up power and connectivity than a typical company server room. Location alone is not enough, though. Security comes down mainly to who has which access, whether two-factor authentication (2FA) is on and whether a separate backup exists. That is the part you are responsible for, and the part we take over when we manage it.

Why is two-factor authentication important in the cloud?

The cloud can be signed into from anywhere, so a password alone is not enough. Two-factor authentication (2FA) adds a second confirmation via your phone and stops an attacker even if a password leaks. We set it up as standard with every Microsoft 365 deployment.

Who owns the data in the cloud and what happens to it if we end the contract?

The data is yours, not ours. Accounts are registered to your company, so even if you decide to continue with someone else, everything stays with you along with the documentation of how the environment is built. When a contract ends we hand over access and documentation so the takeover is straightforward. If some data has to stay on your premises for contractual or internal reasons, we propose a hybrid solution.

Does Microsoft back up our data in Microsoft 365?

Not in the way most companies assume. Microsoft guarantees that the service runs and that you will not lose data through its own fault, but it does not cover what your own people do with that data. If someone deletes a folder, a departing colleague wipes their mailbox, or files encrypted by ransomware sync into OneDrive, you have only a limited window to restore and after that the data is gone for good. That is why we deploy separate Microsoft 365 data backup as an add-on service. If you do not have it, ask us about it.

Who is responsible for data security in the cloud?

Moving to the cloud does not transfer responsibility to the provider, it splits it. The provider covers that the service runs, the power and availability of the data centre and encryption in transit. Who holds which access rights, whether two-factor authentication (2FA) is on and whether a separate backup of your data exists is on you. That is exactly the part we take over when we manage your cloud. We work under ISO 27001, so access is named and every action is traceable.

How much do cloud services cost for a company?

The price depends on the number of users, the volume of data, which systems are being moved and how much ongoing management you want. That is why we cannot quote it before looking at your environment. After the consultation and site visit you get a tailored quote with no obligation, itemising exactly what you are paying for.

Do we have to move everything, or can we go step by step?

You can go step by step and we recommend it to most companies. The usual order is email and documents first, then cloud backup, and server systems last. Part of the infrastructure can stay with you permanently, which is called a hybrid cloud and is the most common setup today.

Will we still reach our data if the internet goes down?

Without a connection you cannot reach systems in the cloud. That is its main limitation and we say so openly. We handle it two ways: either we add a backup connection, for example mobile, or we keep the most critical systems locally as well in a hybrid setup. That is why we always check what connectivity you actually have at the site.

Does cloud help with NIS2 and GDPR?

Cloud on its own does not deliver compliance, but set up properly it helps a great deal, because it gives you visibility of access, traceable actions and working backups. If your company falls under the NIS2 Directive, we recommend starting with a NIS2 gap analysis, which shows what is missing. An overview of the obligations is on the NIS2.

Will you move us from Gmail or an old Exchange to Microsoft 365?

Yes, it is one of the jobs we do most often. Moving email, calendars and documents has its own page Microsoft 365 Migration, where the whole process is described in detail.

Do you look after cloud for companies outside your region?

Yes. We visit clients in person inour region and the surrounding area. Managing and monitoring the cloud itself is done remotely, so we do it just as well for companies elsewhere. Site visits and training for your people are arranged individually.
